SSPR Planning Creation | Supervisor

To make the SSPR Planning creation process more efficient, it is suggested to have a prior planning document ready to copy over

Creating SSPR | Supervisor

1. Go to Forms tab, click Staff Forms

2. Click on Details icon under "Success Strategy Performance Reviews | SSPRs" table

4. Select the SSPR Type "Planning" from the choice list

5. Select the name of the employee that the SSPR review is for on the Employee Name field

Tip: Begin typing the employee's name in the field at the top of the drop down to narrow the list down until you see their name.

6. Select the name of the supervisor for the SSPR review on the Supervisor Name field

Tip: Begin typing your name in the field at the top of the drop down to narrow the list down until you see your name.

7. Select the fiscal year from the Fiscal Year field 8. Use the date picker to select a Plan Start Date that the SSPR is beginning

9. Click the Create button below the form

Filling out SSPR details | Supervisor

1. When you click Create, the form will open into the SSPR Details page

2. Click the Edit SSPR link if you want to update the City of Austin Vision section or the main SSPR details

This is where having your prior planning document will come in handy, for the Department Goals and Activities

  • Department/Division Goals related to position

  • Department/Division Program(s) related to position

  • Department/Division Activity(s) related to position

3. When complete, click Submit at the bottom of the form

Fill in SSPR Contents

Adding a New Priority

1. Click + Add Priority button to open a new form

2. Select Type and use the drop-down to select the appropriate type (will only be available for "Planning" and "Special Review")

3. Enter a Priority - example: 1-10

4. Enter in a Major Responsibility, like a title of the responsibility name

5. Enter information into the Key Tasks and Areas of Responsibility field

6. Enter information into the Individual Performance Measure field

7. Enter any Supervisor/Manager Comments if you have any

8. When complete, click Submit at the bottom of the form

Review COA Competencies

NOTE: You can review the Competencies here to familiarize yourself before the "Planning" meeting.

1. Click + Rate Competencies button to open a new form

2. Check the Position Type and use the drop-down to select the appropriate type

3. Fill out Competency ratings for each of the Competency categories that appear

  • Employee: Customer Service, Cultural Competence, Dependable & Trustworthy, Effective Communication, Problem Solving

  • Supervisor/Manager: Leadership, Decision Making, Planning Priorities, Employee Development, Conflict Management

  • Executive: Boundaryless Perspective, Purpose and Vision, Strategic Thinking, Achieve Results, Politically Savvy

4. Select the Review Period (Mid-year, Year-end, Special Review)

5. Enter Overall Competency Rating (for: Mid-year, Year-end, Special Review)

6. Enter Overall Competency Rating Comments (Optional) (for: Mid-year, Year-end, Special Review)

7 . When complete, click Submit at the bottom of the form

OPTIONAL | Employee Development

NOTE: Prepare this last piece, the Development Plan, which is optional. You will then be ready to schedule the "Planning" meeting with your employee.

1. Click OPTIONAL | Employee Development Plan button to open a section

2. Enter information into the Performance and/or Departmental Development Opportunities field

3. Enter information into the Competency Development Opportunities field

4. Enter information into the Professional Growth field

5. When complete, click Save at the bottom of the page

OPTIONAL | Additional Comments

1. Click OPTIONAL | Additional Comments button to open a new form

2. Enter information into the Mid-year Feedback Comments field or Year-end Feedback Comments field depending on the review session period

3. When complete, click Save at the bottom of the form

OPTIONAL | Supporting Documentation

1. Click + OPTIONAL | Add Documentation button to open a new form

2. Enter information into the Attachment Description field (optional)

3. Click Choose File under the File field

4. Select a file if you'd like to attach a document/image/file and click Open

  • If your have a website or page to share, enter the information into the Link field

5. When complete, click Submit at the bottom of the form

You are now ready to schedule the "Planning" meeting with your employee. At the end of this meeting, here is how you will sign the document.

Add SSPR Meeting

A notification will appear on this page remind you that when you add a SSPR Meeting record that the SSPR status will automatically be set to an "Employee Feedback Status"

Planning Meeting - Version

1. Click + Add SSPR Meeting button to open a new form

2. Select Meeting Type and use the drop-down to select the appropriate type

  • If SSPR Planning Meeting was selected a list of acknowledgements must be reviewed and checked. Check all that apply.

  • I verify that I have discussed:

    • [ ] Major job responsibilities, competencies and performance expectations including but not limited to the contents of this SSPR plan

    • [ ] Employee development plan

    • [ ] Department policies and procedures regarding workplace safety

3. Use the date picker to select the Meeting Date that the SSPR meeting took place

4. When complete, click Submit at the bottom of the form

After you have signed the SSPR, the employee will need to log on to the Human Resources application and also sign the SSPR.
